VRA Systems Limited, which supplies our VRA reward systems, is a separate company. Enquiries sent to its own email address are handled by VRA Systems Limited.

The information we collect

  • Booking and contact details: your name, phone number and email address, the appointment you choose, and anything you tell us when you book, call or email us.
  • Health information: when you see us, we record what is needed to care for you safely. For routine ear wax removal we keep this to a minimum. For hearing tests and other assessments it may include the reason for your visit, relevant medical history, examination findings, hearing test and tympanometry results, and the treatment we give. This is special category data, and we protect it accordingly.
  • Children: for children's appointments we also record the details of the parent or guardian who brings them.
  • Payments: we keep a record of what you paid. Card payments are processed by Teya, our card payment provider; we do not see or store your full card details.
  • Website information: if you accept cookies, we collect information about how you use our websites, such as the pages you visit and whether you booked or tapped our phone number. See Cookies below.

Please do not include detailed medical information when you book online. We will ask about your health at your appointment.

How we use it, and our lawful basis

  • To arrange and provide your care, including booking, reminders and follow-ups. Our lawful basis is taking steps at your request to provide a service to you (contract). For health information, it is the provision of health care by health professionals (UK GDPR Article 9(2)(h)).
  • To keep clinical records as our professional and legal obligations require (legal obligation, and health care).
  • To refer you or share information with your GP or an ENT team when it is needed for your care, for example if we suspect sudden hearing loss. We will normally discuss this with you first. In an emergency, we may share information to protect your health (vital interests).
  • To understand how our websites are used and to measure our advertising, only if you accept cookies (consent). You can change your mind at any time.
  • To run our business, such as keeping accounts and dealing with queries or complaints (legal obligation and legitimate interests).

We do not sell your information, and we do not use it for automated decision-making.

Who we share it with

  • Health professionals involved in your care, such as your GP or an ENT team, when needed.
  • Calendly, which runs our online booking calendar. When you book online, the details you enter are held by Calendly on our behalf.
  • Google, for Google Analytics and Google Ads (only if you accept cookies), for the map and live reviews on our pages, and for the fonts our websites use.
  • Teya, which processes card payments.
  • Our other service providers, such as our email, phone and website hosting providers, who handle information only on our instructions.
  • Others where the law requires it, for example a regulator or a court.

Transfers outside the UK

Some of our service providers, including Calendly and Google, store information in the United States. Where this happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.

How long we keep it

  • Clinical records: we keep minimal records for routine ear wax appointments. Where we keep clinical records, we keep them in line with the NHS Records Management Code of Practice, usually 8 years after your last appointment for adults, and for children until their 25th birthday (or 26th if they were 17 at their last appointment), or longer where there is a clinical or legal reason.
  • Booking details in Calendly: for as long as we need them to manage appointments.
  • Payment and accounting records: 6 years, as required for tax purposes.
  • Website analytics: for a limited period, set in Google Analytics.
